1.0 Purpose

The purpose of this policy is to describe the procedures for the cataloging and processing of monographs which have accompanying Machine-Readable Data Files (computer disks). The determination about location of the disks described below refer only to the Addlestone Library.

2.0 Cataloging

2.1 Monographs with accompanying Machine-Readable Data Files are cataloged like all other materials according the AACR2 Cataloging Rules, Library of Congress Rule Interpretations and OCLC Bibliographic Input Standards.

2.2 The description of the accompanying material should be recorded at the end of the physical description area of the monograph which it accompanies and a note should be added which describes the system requirements and operating system necessary to run the program or read the data file.

3.0 Item Records

3.1 Individual item records should be created for each monographic piece and computer disk. Disks should receive the volume label of "DISK" (if multiple disk accompany the monograph assign numerical sequence numbers to each disk [ex. DISK 1, DISK 2, etc.] ) Barcodes placed on sleeve. Item record location for the disk should be .to CIRC..

4.0 Marking and Planting

Call number labels should be created for each monograph and disk. The volume label for each disk should be the last element of the label. Attach the label to the monograph (as usual) and on the disk sleeve. Add a label to the book (on or near the date due slip) as follows: ACCOMPANYING MATERIALS LOCATED AT THE CIRCULATION DESK.

5.0 Location

Monographs are housed in the appropriate location and shelving area. Accompanying Machine-Readable Data Files are housed at the appropriate circulation desk in call number order.

6.0 Circulation

Checking out of Machine-Readable Data Files adheres to the Borrowing Policy and are treated as any other item in the general collections.
