1.0 Purpose

This policy defines library statistics required for management information purposes in the library administration and for external reporting.

2.0 Standards/Reports

2.1 The Libraries adopt the American National Standard for Library and Information Sciences - Library Statistics (ANSI - Z39.7-1983) to (1) provide definitions and categories for library statistics (2) determine what should be collected and reported.

2.2 The libraries report statistics to the Senior Vice President for Academic Affairs, Institutional Research, the Faculty Committee on the Library, the South Carolina State Library, and US Department of Education.

3.0 General

3.1 Monthly statistics from the department heads/assistant directors that are required by the l library administration are due to the library secretary on the tenth working day of each month.

3.2 The library administration is responsible for preparing a monthly summary of library statistics.

3.3 In addition to the specific statistical categories outlined below, library supervisors may keep additional statistics for internal management purposes.

3.4. Where library statistics are estimated, a typical week is defined as the first full week in November. (If exams or holidays occur during this sample week, other sample weeks may be substituted.

3.5 The Director of the Marine Resources Library shall report public services, collection growth statistics, financial, facilities and equipment, and personnel statistics to the appropriate library administrator.

4.0 Public Services

4.1 The Assistant Director for Public Services is responsible for reporting use of library services and resources.

4.2 The following statistics are collected monthly and cumulated annually: public service hours, annual charged circulation (including reserves), bibliographic instruction presentations, database reference transactions, interlibrary loans, media items prepared, in-library users (turn-style count).

4.3 The following statistics are reported annually and may be estimated (for a typical week): library users, public service hours, borrowers, charged circulation, uncharged use of library materials, reference transactions, directional transactions, shelf availability of library materials, use of equipment and seats, processing time for interlibrary loan borrowing and lending.

4.4 The library reports annually the number of machine readable databases not owned by the library to which the library provided access.

6.0 Facilities and Equipment

6.1 The library administration annually reports the number of service points, square feet available, shelving capacity, and seating capacity.

6.2 The library administration annually reports equipment by the following categories: microform readers and reader printers, projectors for visual materials, audio equipment, film projectors, video projectors, computer terminals connected to mainframe, microcomputers, reprographic equipment and equipment for people with special needs.
